Batch email

One template, a personal message for each applicant.

An admin writes the email once, then sends it to the applicants they select. A variable such as [[first name]] is replaced with that item’s own value, so the same letter can tell someone they are shortlisted, offer a time for a 1-1 meeting, or update them on their application. Nothing goes out until you have previewed each message.

Creating an email template with a subject and a body
Save the wording as a template. Put a variable in double brackets, and it is filled from the item.
Three shortlisted applicants selected, with Send emails chosen
On the selection, choose who should receive it. A status such as Shortlisted keeps the rest of the list out of this batch.
A dialog to name the batch and attach an email template
Name the batch and attach the template.
A draft batch listing each applicant email address
The batch stays a draft. Each selected applicant is a separate email.
A preview of one applicant's email, with a button to send all emails
Read the message as that applicant will see it, then send the batch.

How to use it

  1. Write the templateSet the subject and the body. Insert [[first name]], or any variable defined on the item type, where that applicant’s detail should appear.
  2. Choose the applicantsSelect the items on the selection. Filter by status when only the shortlist, or only the people you still need to write to, should get this letter.
  3. Create the batchGive it a title and pick the template. The same template can be reused for the next cohort.
  4. Preview each emailWalk through the drafts. The variables are already replaced, and each message is still unsent.
  5. SendSend the batch together. Write another template when the next note is a meeting time or a different result.
